FINANCE & OPERATIONS MANAGER
ROLE PROFILE
Reporting to the Chief Executive Officer (CEO), the Finance and
Operations Manager will manage and co-ordinate the administrative, IT
and financial activities of the organisation, and support strategic
initiatives to improve the operational efficiency of the organisation.
KEY RESPONSIBILITIES
The duties and responsibilities attaching to this role post include,
but are not restricted to, the following:
FINANCE/ PROCUREMENT:
* Responsibility for the management of all finance and procurement
activities and policies of the Association
* Oversee and manage the work of the Finance Officer, ensuring
prompt and accurate recording and reporting of financial transactions
* Provide timely, accurate and relevant management information
including statutory and quarterly management accounts with commentary
to the Board
* Preparation and submission of financial reports that meet
funder?s requirements, particularly our key funders: TUSLA and An
Pobal
* Preparation of annual budget and financial plan for Board approval
* Preparation of rolling budget and cash flow forecasts based on
review of actual performance
* Key contact for external auditors of IFCA and internal auditors of
our funders
* Identify potential cost saving opportunities, improvements in
financial processes and supporting IT systems and lead supplier tender
and contract negotiations.
IT:
* Manage relationships with specialist IT 3rd party providers to
ensure effective service delivery and support provision including
contract management
* Develop & Maintain IT Strategy to meet association?s current and
future IT requirements
* Lead and manage IT projects that enable achievement of IT
Strategy, providing regular status updates to CEO and Board
* Maintain BCP plan, IT risk register & IT policies
* Ensure effective IT inventory management, compliance, security,
and disaster recovery procedures in place and tested regularly
* Reporting IT Health status to the Board quarterly, highlighting
risks and issues requiring Board action
REGULATORY:
* Ensuring compliance with regulations set by the regulatory bodies,
including updating the association?s Board and employees on changes
in regulatory legislation and guidelines
* Provision of required reports to Tusla, An Pobal and Charity
Regulator on a monthly, quarterly, and annual basis
* Preparation of regulatory reports returns and Funding submissions
and other ad hoc reports as required.
* Oversee GDPR compliance and act as IFCA?s Data Protection
Officer
QUALIFICATIONS AND EXPERIENCE
* Accounting qualification (e.g., ACA, ACCA), ideally with 3+ years
of post-qualification experience in financial reporting and
procurement
* Strong IT skills, with project management experience desirable
* Advanced excel and ERP system experience preferable
* Experience in the not- for-profit sector desirable,
* Knowledge of GDPR desirable
* Good analytical skills with the ability to provide insightful
commentary to a wide range of stakeholders and drive action
* Strong attention to detail and a commitment to quality are
essential
* Excellent communication, influencing and interpersonal skills with
the ability to work as a team player, co-ordinate across functions and
effectively supervise staff
* Ability to prioritise and manage tasks under pressure on an
ongoing basis
